Setting fieldworker areas and locations available
You can easily set your fieldworkers’ locations and limit their travel radius for mobile services in order to easily match available fieldworkers within the radius to the bookings. The default travel radius will be used as a default value for all your fieldworkers who hadn’t set their travel radius in their profiles, If you don’t have a default travel radius applied in your settings, then the travel radius will be ignored completely when matching fieldworkers with bookings.

How to set up the areas and locations your services are available in?
The location of your business is set when you first create your account, you can select the country and city you’re operating in, to change this later go to Settings > Company settings > Business details, and from the Address section change the country, state, and city.
Note that: When you select a country you can only operate in this country and its cities.
Services locations are based upon where your fieldworkers are located and their travel radius. When your business type is set to mobile locations, your services will be available where your fieldworkers are available. To change your business type, go to Settings > Company Settings > Business details then scroll down to the Business type section and check the “I travel to any booking address requested by my customers (mobile locations).

How to set the default travel radius for your business?
If you want to limit the distance your fieldworkers travel for mobile services, you can set the default travel radius, in order to limit matching fieldworkers to fieldworkers within that radius. The default travel radius will be used as a default value for all your fieldworkers. If you don’t have a default travel radius applied in your settings, or the travel radius added is 0, then the travel radius will be ignored completely when matching fieldworkers with bookings. If you want to set different travel radiuses for different fieldworkers, you can set the max travel distance on a fieldworker level from their profile.
To set the default travel radius go to Settings > General Settings > Job Assignment, from the default travel radius text field enter the number of miles/KM you want to limit the radius.

Alternatively, you can set the default travel radius from Settings > Customer portal > Flags & permissions from the sidebar menu on the left, scroll down to the Booking flags, and enter the miles/KM in the text field provided.

Does the default travel radius affect the travel radius of your fieldworkers?
The default travel radius won’t affect the fieldworker’s custom travel radius, as once the fieldworker set their travel radius it will be applied to the bookings from the admin and customer portal regardless of the default travel radius set in the company settings.
Does the default travel radius affect bookings made through the admin portal?
Bookings are affected by the fieldworker’s travel radius, when the default travel radius is set all fieldworkers who haven’t set their travel radius will be automatically set to the default travel radius, however, the fieldworkers who set their travel radius will not be affected by the default radius.
When you create a new booking, after selecting the customer, location, and adding the service, when selecting the fieldworker, only fieldworkers within the travel radius will appear in the drop-down menu.

Does the default travel radius affect bookings made through your customer portal?
The fieldworkers’ travel radius affects the bookings made on the customer portal. When a customer books an appointment they will be asked to add their location after selecting the service they want to book, if customers are located within the travel radius they will proceed with their booking process, if not, a message will appear indicating that the service is not available in this location.

Can different fieldworkers cover different areas/cities or states?
Each fieldworker can set their city and state from their profile as long as it’s in the same country as the business. From the fieldworker profile in the Personal details section click on the edit icon next to the Account details.

A pop-up window will appear, scroll down to the Address details section where you can fill in the address or locate it on the map and change the state/region then click on Save.

Can different fieldworkers have different travel radius set up in their profiles?
Each fieldworker can set the travel radius where they can operate and will be set regardless of the default travel radius set in the company settings. To update the fieldworker’s travel radius, go to Fieldworkers from the sidebar menu on the left. View the fieldworker’s profile and click on the Job settings tab, then select the Travel radius and click on the edit icon on the right.

A pop-up window will appear where you can write the miles of the travel radius in the following text box and click on Save.

Can the same fieldworker provide services in multiple cities or states?
Fieldworkers can operate in different cities or states if their travel radius covers more than one state from their location, so for example if the fieldworker’s location is set near the borders of New york city and their travel radius is set to 100KM so they their radius can cover a part in New Jersey.
Can admin users edit the location and travel radius set of a fieldworker?
You can update the fieldworker’s location from their profile, go to Fieldworkers from the sidebar menu on the left and view the fieldworker’s profile, from the Personal details section click on the edit icon next to the Account details.

A pop-up window will appear, scroll down to the Address details section where you can fill in the address or locate it on the map and change the state/region then click on Save.

Then you can update the Fieldworker’s travel radius to limit their bookings locations. To update the fieldworker’s travel radius, go to Fieldworkers from the sidebar menu on the left. View the fieldworker’s profile and click on the Job settings tab, then select the Travel radius and click on the edit icon on the right.

A pop-up window will appear where you can write the miles of the travel radius in the following text box and click on Save.

Can fieldworkers update their location and travel radius using a desktop browser?
Your fieldworkers can update their location and travel radius from their profiles, click on the fieldworker’s name, and from the drop-down menu select My Account.

You’ll be redirected to the fieldworker’s profile, from the Personal details section click on the edit icon next to the Account details.

A pop-up window will appear, scroll down to the Address details section where you can fill in the address or locate it on the map and change the state/region then click on Save.

To update the travel radius, from the Job settings tab select Travel radius and click on the edit icon.

A pop window will appear where you can add the desired travel radius miles and click on Save.

Can fieldworkers update their location and travel radius through the app?
Fieldworker have to set their location while creating their account on OctopusPro, they can change it later from their profile in the fieldworker’s application, go to the fieldworker’s profile and click on My account, from the Address & Contact details section click on the address.

You’ll be redirected to the contact details page where you can add the detailed address, change the state/region and town/city then click on Save.

Fieldworkers can easily update their travel radius using the fieldworker’s application, open the fieldworker profile on the app and click on My account, scroll down to the Travel radius section and click on it.

A pop-up window will appear where you can enter the miles/KM you want and click on Save.
