Nearby Bookings

OctopusPro empowers the users to easily view and select which Fieldworkers are doing jobs close to where the location of a booking is, with the Nearby Bookings feature. It will view bookings that have been made in the same areas so that users can assign jobs to fieldworkers who will already be in the area. This ensures efficiency and reduces travel time for fieldworkers.

The Nearby bookings feature is available for your admin users and fieldworkers, and is also available through the fieldworker app. Using the Nearby bookings, you can view which fieldworkers have bookings near the location of the booking they are scheduling. It displays all nearby bookings on a map, so you can see all nearby bookings visually. You can click on the location pinpoint for each booking to view more information regarding that booking. You can also switch to the list view which lists all bookings scheduled nearby, their distance from the booking you are scheduling, their assigned fieldworkers, and the date and time they are scheduled, and other relative information. 

The nearby bookings feature helps minimize the travel times required, by helping you schedule bookings near other existing bookings. It helps you reach nearby fieldworkers easily, and respond efficiently to emergency calls and last-minute bookings, to improve the booking experience. It also helps you communicate with customers more effectively by allowing you to give faster and more accurate time-range windows for arrival. 

For example, an admin user for a cleaning company is assigning new bookings for the available fieldworkers in a specific area, the admin user will need to know about other available fieldworkers assigned to nearby bookings within the same area, to select or view for bookings closeby, to minimize travel times for fieldworkers.

How to view Nearby Bookings when creating a new booking

When creating a new booking, from the admin user web view, click on Bookings > Create New

You will be redirected to the New Booking page, to fill in the details of the booking. When adding a service, you will be required to select a fieldworker. Click on Nearby bookings on the right side of the page, to view all the bookings  nearby your location and their assigned fieldworkers, to select a preferable fieldworker for your service. 

When clicking on Nearby bookings, a popup window will appear, viewing a map that includes all the scheduled bookings nearby the area, as pinpoints. 

By clicking on the location pinpoint icon, a popup window will appear viewing all the details of the booking including:

  1. The fieldworker assigned, by clicking on it, you will be redirected to the fieldworkers profile page. 
  2. The booking status and number, and by clicking on the booking number, it redirects you to the booking view page, to view all the booking details. 
  3.  The time of the booking including the duration and the date of the booking. 
  4. The customer name. 
  5. The address where the booking will be held.
  6. The service selected for the booking,and the booking status.
  7. The price of the booking. 
  8. You can edit the booking by clicking on the Edit button shown below, which will redirect you to the booking details page to edit any details in the booking.
  9. You can also view the booking by clicking on the View button shown below, which will redirect you to the booking view page, to view all the details related to the booking. 

You can switch to the list view which lists all bookings scheduled nearby with their distance from the booking you are scheduling, their assigned fieldworkers, and the dates and times they are scheduled, the booking address and cost. 

By hovering over the selected booking number, a popup window will appear viewing all the booking details including the fileworker assigned, the booking date and time, the customer, the booking address and cost, the service selected and the booking status. You can also:

  1. Edit the booking details by clicking on the EDIT button shown below, which will redirect you to the Edit booking page.
  2. View the booking details by clicking on the VIEW button shown below, which will redirect you to the Booking view page, to view all the booking details.

You can also send requests to matching fieldworkers and assign them to the booking directly by pressing the Send Request button from Actions. 

When hovering over the fieldworker’s display name, a popup window will appear viewing all the details of the fieldworker. You can also:

  1. Click on View calendar, which will redirect you to the main calendar including all the scheduled bookings during the current month. 
  2. Click on View profile, which will redirect you to the fieldworker’s profile to view all their details. 
  1. By clicking on view timeline, the timeline of the fieldworker will appear including all their available working hours and scheduled booking appointments.

The timeline shows the available hours during the day, the key will show when the Fieldworker has jobs booked and when they are available. The three colours above the timeline determine the availability of the fieldworker during the day hours. If the hours are coloured red, it means that the fieldworker is not available at these hours. If the hours are coloured grey, it means that the fieldworker has a booking scheduled at these hours. If the hours are coloured black, it means that the fieldworker is assigned to this booking at these hours.

  1. You can easily assign fieldworkers to the booking directly by clicking on the available slots on the timeline.

A popup window will appear, enter the start time and end time of the job, then click confirm.

The booking appointment will be rescheduled and assigned to the fieldworker only after clicking save changes when you finish creating the new booking.

To view any scheduled bookings on the timeline, simply click on the time slot colored in grey. A popup window will appear including the scheduled booking and it’s details: the fieldworker assigned, the booking number, the customer, the time, date and location of the booking, the service booked and the booking status, as well as the price of the booking. 

  • You can click on Edit to be redirected to the “edit booking page” to edit or change any details of the booking.
  • You can also click on View to be redirected to the booking view page to view all the booking details.

Find Nearby bookings in booking view 

In scheduled bookings, you can view the nearby bookings within the same area.

To find nearby bookings for an existing booking:

  1. Go to Bookings
  2. Select the type of booking you wish to view, or select All Bookings
  3. On the booking overview click on the Actions 

Select View booking to view the booking details.

You will be redirected to the booking view page, scroll down to Available Fieldworkers on the left side of the page, click on Nearby bookings

When clicking on Nearby bookings, the map view in the popup window will appear by default, where you get to see a map of the area including all nearby scheduled bookings, as pinpoints.

When clicking on the location pinpoint of the booking, a popup window will appear, viewing all the booking details including the fieldworker assigned, the booking number, the service selected, the booking status, the date and time, the exact booking address, and the price of the booking. As an admin user, you can edit or view the booking through the buttons shown below. 

  1. By clicking on the EDIT button shown below, you will be redirected to the booking details page to edit any details in the booking.
  2. You can also view the booking through clicking on the VIEW button shown below, you will be redirected to the booking view page, to view all the details related to the booking.

To switch to the list view of the nearby bookings, click on the List button, it will list all bookings scheduled nearby with their distance from the booking you are scheduling, their assigned fieldworkers, and the dates and times they are scheduled, the booking address, and cost.

  1. By clicking on view timeline, the timeline of the fieldworker will appear including all their available working hours and scheduled booking appointments.

The timeline shows the available hours during the day, the key will show when the Fieldworker has jobs booked and when they are available. The three colours above the timeline determine the availability of the fieldworker during the day hours. If the hours are coloured red, it means that the fieldworker is not available at these hours. If the hours are coloured grey, it means that the fieldworker has a booking scheduled at these hours. If the hours are coloured black, it means that the fieldworker is assigned to this booking at these hours.

To view any scheduled bookings on the timeline, simply click on the time slot colored in grey. A popup window will appear including the scheduled booking and it’s details: the fieldworker assigned, the booking number, the customer, the time, date and location of the booking, the service booked and the booking status, as well as the price of the booking. 

  • You can click on Edit to be redirected to the “edit booking page” to edit or change any details of the booking.
  • You can also click on View to be redirected to the booking view page to view all the booking details.

You can easily reassign a different fieldworker to the booking or change the date and time of the booking, by clicking on the available time slot on the timeline.

A popup window will appear, if you wish to change the booking date and time, you can do so by entering a different date, start and end time for the booking. Click confirm to save changes and reschedule the booking. 

But, if you wish to assign a different fieldworker, select the different fieldworker and pick an available time on their timeline, ensure the date and time are correct in the popup window form and click confirm. The booking will rescheduled and/or reassigned to the fieldworker you have reselected.

View Nearby bookings when editing an existing booking 

You can easily view nearby bookings when editing any exisiting booking. To do that:

  1. Go to Bookings
  2. Select the type of booking you wish to view, or select All Bookings
  3. On the booking overview click on the Actions 

Select Edit booking to edit the booking details.

You will be redirected to the booking details page, to edit any of the booking details. Scroll down to Scheduled Appointments. Click on Nearby bookings on the right side of the page.

When clicking on Nearby bookings, the map view in the popup window will appear by default, where you get to see a map of the area including all nearby scheduled bookings, as pinpoints. 

When clicking on the location pinpoint of the booking, a popup window will appear, viewing all the booking details including the fieldworker assigned, the booking number, the service selected, the booking status, the date and time, the exact booking address, and the price of the booking. As an admin user, you can edit or view the booking through the buttons shown below. 

  1. By clicking on the EDIT button shown below, you will be redirected to the booking details page to edit any details in the booking.
  2. You can also view the booking through clicking on the VIEW button shown below, you will be redirected to the booking view page, to view all the details related to the booking.

For example, if an admin user wants to adjust any booking details, like change the fieldworker assigned, they can easily view nearby bookings within the same area, view the details and assigned fieldworkers to select from, to ensure effeciency, and reduce travel time for the fieldworkers. 

To switch to the list view of the nearby bookings, click on the List button, it will list all bookings scheduled nearby with their distance from the booking you are scheduling, their assigned fieldworkers, and the dates and times they are scheduled, the booking address, and cost.

View Nearby Bookings in Quotes

Go to Quotes > Select the type of Quote you wish to view, or select All Quotes

You will be redirected to the Quotes list. On the Quote overview click on the Actions 

Select Edit quote 

Scroll down to Scheduled Appointments, then click on Nearby Bookings 

When clicking on Nearby bookings, the map view in the popup window will appear by default, where you get to see a map of the area including all nearby scheduled bookings, as pinpoints.

View Nearby bookings from the fieldworker app

When logged in as a fieldworker from the mobile application

  1. Click on the side menu on the left side of the page. 
  2. Click on Bookings
  3. Select the type of booking you wish to view, or select All
  4. Click on the booking you wish to view
  5. The booking view page will open, viewing all the booking details on the top of the page, click on the pinpoint icons shown below, to view the full map
  6. All nearby bookings will be visible, and by clicking on the location pinpoint, all the booking details will be viewed.
