Labels are tags or keywords that you can create and add to your inquiries, quotes, bookings, invoices, complaints, fieldworkers, and customers, using labels in the OctopusPro system will help you categorize and identify and bookmark inquiries, quotes, bookings… etc, also, setting up labels will improve the communication within your office, providing additional information regarding a booking, inquiry, or an estimate. With labels, others can easily see the status of the labeled object, like if the company has been communicated with the customer about a booking, quote, …etc that he made or not.
OctopusPro will give you the choice to name your labels and color it giving, also, you can add as many labels as you wish. Coloring the tag will help you identify the label faster.
From the filters in each of the booking list page, queries list page, quotes list page, invoices list page, complaints list page, fieldworkers page, and customers page, you can use label filter to help you reach your stuff quickly without taking the effort of searching manually.
Examples of using labels in:
- Inquires: You can add labels named “Follow up fast”, or “Get a detailed quote” or “In a rush” or maybe “Spam”.
- Quotes: You can add to quotes labels named “Urgent” or “High priority” or maybe “High Invoice amount”.
- Bookings: You can add labels named “Customer is in a rush” if the customer needs the Job to be done at a fast pace, or “Customer is not in rush” if the customer doesn’t need the booking to be done in a fast period.
- Fieldworkers: You can add “Top 10” or “Top 5” labels to your best employees to help you categorize them when choosing someone for a job.
- Customers: “VIP” Tag is one of the famous labels that is used to identify very important persons or customers for your company, Also the “Luxury” label can be used for customers that demand luxurious services from your company.
- The same applies to complaints and invoices, there are two ways for setting up your labels, the first way is from the settings and the other one is from the label popup that appears when we choose to add a new label to a booking, inquiry, quote, … etc.
Add a new label
- Login to your Octopus Pro account, click here if you haven’t
- In the left menu, click on Settings >> General Settings >> Labels
- Click on the ‘New Label’ button.
- Add label popup will appear as follows
- Select the label name or title
- After that select the label name you can select the label color, you can choose colors of our selection or you can customize your colors
- Selecting from our colors
- To customize your color, go to Label color>Advanced
- Select the Hue or color.
- Select the Brightness or the Lightness percentage
- Select the Saturation percentage or how much shade you want in the color.
- Hover over the color preview and a select button will appear, press on it to select the color that you’ve customized.
- After that select the parent label you can select the parent label if you want.
- After setting up the label name and the Label color press save.
- You will notice that the labels that you’ve created are on the labels setting page showing the name and the color of each label.
Add a Label to Inquiries
- Go to any inquiries list New Inquiries/My Inquiries/All Inquiries… etc.
- Click on the ‘Actions’ button.
- From the list that appears click on “Add Label”.
- Search label popup will appear
- You can choose your label by clicking on the label name and you will see that the label checkbox is filled.
- Press “Apply”.
- You will see the label on the labeled Inquiry as
Add a Label to Bookings
- Go to any Bookings list To Today/Tomorrow/All Bookings… etc.
- Click on the “Actions” button.
- From the list that appears click on “Add Label”.
- Booking Label popup will appear
- You can choose your label by clicking on the label name and you will see that the checkbox is filled.
- You can also search for your labels if you have to label many from the search box
- Press “Apply”.
- You will see the label on the labeled Booking as:
Add a Label to Quotes
- Go to any Quotes list To Follow/Site Visits/All Quates… etc.
- Click on the “Actions” button.
- From the list that appears click on “Add Label”.
- Estimate Label popup will appear
- You can choose your label by clicking on the label name and you will see that the checkbox is filled.
- You can also search for your labels if you have to label many from the search box
- Press “Apply”.
- You will see the label on the labeled Quotes as:
Add a Label to Invoices
- Go to any Invoices list Open/unpaid/All Invoices… etc.
- Click on the “Actions” button.
- From the list that appears click on “Add Label”.
- Invoice Label popup will appear
- You can choose your label by clicking on the label name and you will see that the checkbox is filled.
- You can also search for your labels if you have to label many from the search box
- Press “Apply”.
- You will see the label on the labeled Invoices as:
Add a Label to Customers
- Go to the ‘All Customers’ list
- Click on the ‘Actions’ button.
- From the list that appears click on “Add Label”.
- Customer Label popup will appear
- You can choose your label by clicking on the label name and you will see that the checkbox is filled.
- You can also search for your labels if you have to labels many from the search box
- Press “Apply”.
- You will see the label on the labeled Customer as:
Add a Label to a Fieldworker
- Go to ‘Fieldworkers’.
- Click on the ‘Actions’ button.
- From the list that appears click on “Add Label”.
- Add Label popup will appear
- You can choose your label by clicking on the label name and you will see that the checkbox is filled.
- You can also search for your labels if you have to labels many from the search box
- Press Apply
- You will see the label on the labeled Fieldworker as:
- Also, labels attached to Fieldworkers will appear in the fieldworker popup as:
