Calendar Day View (Daily Scheduling Calendar)

OctopusPro’s Calendar Day View is built for day-to-day dispatching. It lets you quickly see each fieldworker/technician’s schedule for a selected day and take common actions directly from the calendar—such as reassigning bookings, rescheduling appointments, creating new bookings, blocking unavailable time, editing booking duration, and using fieldworker labels to make smarter assignment decisions.

Best for: dispatchers and office teams managing last-minute changes, balancing workloads, and confirming availability across multiple fieldworkers.

1) Access Calendar Day View

To open the Day View:

  1. Go to Calendar.
  2. From the view selector, choose Day.

To switch to a different day, use the navigation arrows or click the date picker icon to choose a date.

Tip: If your calendar supports timezones, confirm the correct timezone is selected before rescheduling or blocking time (useful when dispatching across regions).


2) Reassign a booking (drag & drop)

You can reassign a booking to another fieldworker/technician by dragging the booking block to a different fieldworker column.

  1. In Day View, find the booking block you want to reassign.
  2. Click and hold the booking block.
  3. Drag the booking to the new fieldworker’s column and drop it.
  4. The calendar updates instantly to reflect the new assigned fieldworker.

Important: Reassignment will only succeed if the target fieldworker is available for the booking time and can deliver the required service (based on your configuration and restrictions such as availability, working hours, and service eligibility).


3) Reschedule a booking (drag to a new time)

To move an appointment to a different time on the same day, drag the booking block up or down to the new time slot. The system updates the booking immediately after you drop it.

  1. In Day View, locate the booking you want to reschedule.
  2. Click and drag the booking block to the new time slot.
  3. Release to drop it into place.

Good to know: Depending on your notification settings, OctopusPro may notify the customer and/or assigned fieldworker when times change.


4) Create a new booking from Day View

Day View lets you create a booking directly from a time slot:

  1. Click the time slot you want to book.
  2. From the quick actions menu, select Add booking.
  3. You’ll be taken to the booking form—complete the details and save.

5) Create / block unavailable time

Use unavailable time to block out non-working hours, leave, training, or any period where a fieldworker (or all fieldworkers) cannot accept bookings.

  1. Click the time slot you want to block.
  2. Select Add unavailable time.

In the unavailable time window:

  • Add a Title (e.g., “Leave”, “Training”, “Fully booked”).
  • Use All day to block the entire day.
  • Use Apply for all fieldworkers to block the same time across your team (when needed).
  • Confirm Timezone, Start, and End date/time.
  • Click Save.

Once saved, the blocked period appears on the calendar as an unavailable block.

6) Edit booking time & duration directly from the calendar

To adjust a booking directly in Day View:

  • Change start time: drag the booking block up/down to a new start time.
  • Change duration: hover near the bottom edge of the booking block until the resize indicator appears, then drag to extend or shorten the booking.

Tip: If you can’t resize or move a booking, check for conflicts (overlaps), blocked/unavailable time, fieldworker working hours, or permission restrictions.


7) View fieldworker labels in Day View

Fieldworker labels help you quickly identify specialties or categories (e.g., “VIP”, “Senior Tech”, “Plumber”, “Cleaner”) while dispatching.

To view labels in Day View, look at the fieldworker header area—labels appear near the fieldworker name when enabled.

8) Add a label to a fieldworker profile

To add a label for a fieldworker:

  1. Open the Fieldworker Profile.
  2. From the actions menu, select Add Label.
  3. Create or choose the label you want to assign.
